Inbox OS is the single place every signal lands. Slack pings you starred, emails you forwarded, meeting transcripts, form submissions, voice notes, web clips. Everything goes to one Notion Capture database. You decide later where it belongs.
The promotion step is deliberate. Nothing auto-files itself into a project or a note. A weekly triage ritual moves rows into the right downstream database: Tasks, Ideas, Reference, or Archive. Capture is frictionless. Structure is intentional.
PARA and Second Brain users hit the same wall. Ten capture tools, ten inboxes, nothing ever gets filed. The problem is not capture, it is the gap between capture and structure.
Inbox OS closes the gap by separating the two actions. Capture is one tap, one click, one forward. Structure is a Friday 20-minute ritual that reads one inbox and moves rows out. The inbox empties. The downstream databases grow on purpose, not by accident.
Three databases. Capture holds every incoming row with source, timestamp, and raw content. Promotions holds the routing rules, which pattern goes to which downstream database. Archive holds rows that got processed but didn't earn a downstream home.
The capture row has three buttons. Promote to task, promote to note, archive. Each button moves the row into the right downstream database with the source linked back.
Monday through Thursday, the inbox fills. You don't file anything. You just capture. Slack starred messages forward in, emails forward in, meeting transcripts land via Fireflies, voice notes via a shared email.
Friday morning, 20 minutes. Open Capture, sort by oldest, promote each row. Tasks go to the task database, ideas go to the ideas database, references go to the knowledge base, everything else archives. The inbox empties. Next week starts clean.
The first failure is trying to auto-route. A rule promotes emails with "invoice" to a finance database, and three months in finance has 200 rows including replies that said "invoice coming next week". Fix: no auto-routing. Promotion is always a human decision.
The second failure is skipping the Friday ritual. Inbox bloats, ritual gets longer, ritual gets skipped again. Fix: 20 minutes, timer on. Anything unprocessed archives automatically after 30 days. The inbox cannot grow past a ceiling.
The third failure is treating Inbox OS as a to-do list. Rows sit in Capture because "I might do this someday". Fix: Capture is not a holding pen. Promote or archive. Nothing sits forever.
