Outreach Tracker

Tracks every cold outreach touch in Notion, not in Smartlead or Apollo. Each prospect gets one row. Every message, every reply, every booked call attaches to that row with a timestamp and the channel. When you change outreach tools next quarter, the history comes with you. The tool does not own the context.

Outreach platforms treat you as a campaign, not as a relationship. The data is fragmented across campaigns, lists, sequences. When a prospect replies six months later "saw your post, still interested", you have no idea what you said the first time. This template makes Notion the source of truth and the outreach tool the send layer. History persists even if the tool gets swapped.

Two databases. Prospects holds each contact with name, company, role, source, and current status. Touches holds every outreach event with channel, message, timestamp, and reply, linked to the prospect. Views: Cold right now, Replied waiting, Booked, Dormant, By source.

You export a CSV from Apollo or Clay. It maps into Prospects. You push contacts into Smartlead or Lemlist. Every send and reply mirrors back into Touches via a webhook or a nightly CSV. When a prospect replies, the sequence pauses, a Slack ping lands, you reply from the lead page.

The first failure is letting the outreach tool be the source of truth. When you switch to a new tool, the history dies. Fix: Notion is canonical. The outreach tool is a send layer, no more.

The second failure is messages that read like copy-paste. Prospect replies, you look at the history, every message was identical. Fix: every touch row has a short "personalisation field" required on create. One sentence. If you cannot write one, the touch does not send.
